Customer Privacy Policy

This Policy describes Care Systems’ privacy practices in connection with the use of Care Systems’ products, services, and any associated applications (“Services”).
Care Systems recognizes that one of its fundamental responsibilities is to ensure that it protects the personal information entrusted to us by its clients and users. This is critical for maintaining our reputation, and for complying with legal and regulatory obligations to protect customer information.


What Information is Collected

When using our products and services, our customers are solely responsible for determining what data is collected regarding their employees. Care Systems processes information solely at the direction of its customers and has no direct relationship with the individuals whose Personal Information we process.
The information may get collected during project implementation and activities conducted by employees of the client, through interfaces with other systems, by members of our support team who provide support to customers, or by the technical staff who provide our services.
The Personal Information processed by Care Systems on behalf of our customers varies, but includes information such as name, company name, address, email address, time and attendance, schedule information, and Social Security Numbers.
Use of Customer Information
We use your personal information to provide you with the services that Care Systems is contractually obliged to provide you, as well as to improve our products/services and communicate with you about them.

Disclosure of Information

Care Systems might disclose your information if we, in good faith, believe that such action is necessary to:
• Comply with the law or with legal process.
• Protect and defend our rights and property.
• Protect against misuse or unauthorized use of our products and services.
• Protect the personal safety or property of our users or the public.

Other than as stated in this Privacy Notice, we will endeavor not to release your information to unknown or unaffiliated third parties. We will also not cross-reference your information with that of any other customer or entity.

Data Subject Rights

When processing Personal Information on behalf of a customer, Care Systems has no direct business relationship with the individuals whose Personal Information it processes (employees and former employees of our customers).
If you are a current or former customer, please contact your employer/former employer directly to exercise the rights relating to your Personal Information. As a processor, Care Systems does not respond to requests from a customer’s applicants or employees, unless that customer is no longer in business.


To prevent unauthorized access or disclosure, to maintain data accuracy, and to allow only the appropriate use of your Pl, Care Systems utilizes physical, technical, and administrative controls and procedures to safeguard the information we collect.
To protect the confidentiality, integrity, availability and resilience of your Pl, we utilize a variety of physical and logical access controls, firewalls, intrusion detection/prevention systems, network and database monitoring, as well as antivirus and backup systems. We use encrypted sessions when collecting or transferring sensitive data through our websites.
We limit access to your Pl and data to persons who have a specific business purpose for maintaining and processing such information. Our employees who have been granted access to your Pl are made aware that their responsibility is to protect the confidentiality, integrity and availability of that information.

Data Purging

Care Systems has a process where it performs data purging activities on terminated contracts to permanently remove customer information and other information that gets accumulated over the contract period. Unless agreed in advance as part of the contract it, or as part of negotiation for contract extension, all data pertaining to the client will be permanently deleted
3 months before the contract expires. We will not take any responsibility for your data

Enforcement & Verification

Care Systems will periodically assess its operations to validate compliance with this Privacy Notice. If we learn that one of our employees, or a third party, is using or disclosing Personal Information in a manner contrary to this Privacy Notice, we will take the necessary steps to prevent that use or disclosure. We hold our employees and third parties accountable for maintaining the trust that our customers place in us.


Care Systems shall reserve the right to change or update this policy or practice, at any time with reasonable notice to our client, so that customers are always aware of the information that is collected, for what purpose system uses it, and under what circumstances, if any, Care Systems may disclose it. By virtue of this privacy policy, customers assent to collection, use, disclosure, retention, and other processing of their personal information as described in this policy.
