Enhancing Efficiency and Savings with CareWare’s Staff Scheduling and Analytics System

BACKGROUND Good Shepherd Medical Center (GSMC), a 425-bed regional referral center in Longview, Texas, is recognized for its exceptional care, holding designations as a Level II Trauma Center, Primary Stroke Center by the Joint Commission, Certified Chest Pain Center, and STEMI Receiving Center by the American Heart Association. It is also ranked as a CareChex Top 100 Hospital.

CHALLENGE GSMC aimed to reduce the time managers spent on scheduling each month, improve unit coverage, enhance management reporting beyond what was available with their previous system (ANSOS), and provide staff and managers with anytime, anywhere access to their schedules.

Over the past decade, GSMC was approached by two payroll providers, Kronos and later API, both of which encouraged the hospital to adopt their scheduling solutions in place of CareWare. However, these proposals were met with strong opposition from GSMC managers and staff, who preferred the superior performance and capabilities of CareWare.

SOLUTION GSMC opted to implement CareWare’s CareStaffer and CareAnalytics solutions to address their scheduling and management needs.

RESULTS Within the first twelve months, GSMC achieved a 25% reduction in contract labor utilization, despite a 10% increase in inpatient census. This was due to more balanced scheduling, which was tailored to unit-specific workloads.

The use of CareWare also led to a reduction in overtime hours, as the system allowed managers and the central staffing office to quickly identify and contact staff available to pick up open shifts without incurring overtime.

GSMC leveraged CareWare’s business intelligence reporting to enhance key management functions, including generating 12-month absence and tardy reports—capabilities that were not available with API and Kronos systems—along with overtime reports by unit and staff member, and critical audit function reporting.

Additionally, GSMC began using CareWare’s near real-time productivity dashboard to better manage labor productivity and reduce labor costs.

In the 2011 NDNQI Nurse Satisfaction Survey, GSMC’s RN staff expressed high satisfaction with the scheduling process, with “Scheduling” being one of the highest-rated questions. This positive feedback is directly related to CareWare’s user-friendly interface and the flexibility it offers staff to access the system from anywhere.
